What experience do you have in quality auditing?

Context: Auditors ensure compliance by verifying whether products meet specific standards. You should know what type of audits you perform, their purpose, and how to conduct them. Interviewers may ask this question to find out what kind of work you did in the past and how you performed in your last position.

Sample Response: I am experienced in both internal and external audits. I was involved in several projects where we had to verify whether our products met certain standards. We were tasked to audit different parts of the production line to check if everything was going according to plan. Also, I have conducted various supplier quality system audits to ensure that the supplier meets the requirements of ISO 9001, product specification and purchase order requirements. I usually worked closely with other team members.

What challenges have you faced in quality auditing, and how did you address them?

Context: An interviewer may be looking for a candidate who can handle the pressure of dealing with difficult situations during audits. You should be able to demonstrate that you can deal with these issues without being intimidated by the situation.

Sample Response: When it comes to quality auditing, many challenges can arise. The most common challenges are lack of management support, inadequate resources, support from auditees, and poor communication between auditors and auditees. To overcome these challenges, we must work closely with management to understand their needs and expectations. This will enable us to design an effective audit strategy to satisfy and exceed their expectations.

 Some other challenges in auditing include:

- Complex statutory and regulatory requirements

- Poor documentation 

What experience do you have with using audit software?

Context: You should know what type of auditing software exists and which ones you have used before. Audit software comes in many forms, from basic spreadsheets to sophisticated in-house applications. Make sure that you mention all the types of software you have used in the past.

Sample Response: Audit software allows auditors to easily track and analyze data, detect errors, and generate reports. Auditors with experience using audit software can assess potential risks quickly and efficiently while providing superior quality assurance. I am familiar with many different types of audit software. Some of the ones I have worked with include Microsoft Excel, Crystal Reports, and SAS. In addition, I have also used Minitab and Python to analyze complex data collected during audits.

Describe the process of conducting an audit from start to finish.

Context: You should know what auditing entails and why it's done. This is an opened ended question. Based on your response, you can expect further follow-up questions.

Sample Response: An audit is a process that examines an organization's procedures to ensure compliance with applicable laws, regulations, customer requirements, and internal work processes. The process typically begins with understanding the risks related to the organization. Based on identified risks, an audit plan and schedule are developed. Typical stages in an audit include planning the audit, informing the auditee about the plan, conducting an opening meeting, conducting auditing, and conducting a closing meeting. Finally, auditors must prepare a report summarizing their findings and make recommendations for improvement if necessary.

Describe your style of audit report writing.

Context: You should know what kind of reports you write and why you write them. You should also be able to describe your approach to auditing.

Sample Response: Writing an effective report is an essential skill that is often overlooked but can be the difference between success and failure in meeting the audit objective.

When considering my report writing style, it is important for me that use clear language and concise sentences that are easy for readers to understand. Furthermore, avoid industry jargon when possible, as this can make it difficult for those unfamiliar with it to comprehend what you are trying to say. In addition, make sure that all facts presented in the report are accurate and up-to-date; fact-checking helps ensure credibility amongst readers and avoids any misunderstandings or confusion later on down the line.

Also, I always include a one to two-paragraph summary for the management's attention.

What auditing strategies have you found most helpful in identifying quality issues?

Context: This question allows you to demonstrate your ability to identify problems and suggest solutions. You should talk about what you did to find out where there were problems. Here you can emphasize the importance of data and facts-based auditing.

Sample Responses: One of the most effective strategies to identify quality issues is to review customer feedback. This can provide valuable insight into how customers perceive your product or service and any potential areas of improvement.

Other effective methods include analyzing data from production processes and regularly comparing your products or services against industry standards. By implementing these strategies, you can identify quality issues quickly and address them before they become more significant problems.

What would be your approach if you observed a serious quality problem during an audit?

Context: You should be able to answer this question by showing your ability to work under pressure and handle unexpected situations.

Sample Response: If a serious quality issue is discovered, the first step should be to document the issue precisely and accurately. I would immediately inform my supervisor and follow up with them to ensure the problem was solved. I would also notify our customers who may be affected by the problem.

What would be your approach if the auditee does not permit you to observe some parts of the production facility?

Context: The interviewer wants to know whether you think you could work effectively without having access to all aspects of a company's operations. You must demonstrate your ability to work independently and adapt quickly to changing conditions.

Sample Response: This situation typically happens when performing a second or a third-party audit, where the supplier performs a proprietary or confidential process.

If you were not allowed to observe certain parts of the production process, it would be important to gain as much information as possible about them. I will check with the supplier if it is possible to observe the relevant part of the process applicable to the specific purchase order. In many situations, the supplier has agreed to allow me to observe the process under the condition that I will not take any notes or photographs of that area.

What are the key differences between internal and external audits?

Context: The interviewer wants to see how well you understand the difference between internal and external audits. You need to show your knowledge of the different types of audits and their purposes.

Sample Responses:  Internal audits are conducted within a company to evaluate its own performance. These audits help companies improve their business practices and procedures. They are usually performed regularly and involve employees in various departments.

External audits are conducted by outside auditors to verify compliance with contracts, regulations and standards.
